Self Managing Groups
Self Managing groups are another major automation concept introduced by Enterprise User Management. The system is typically integrated with one or more sources of data for internal and external users and then fully automates the previously manual process of managing group-user membership. IT and business group managers define groups based on any combination of roles such as Division, Department, Job Title, Job Grade, Geographical Location etc. Once defined, the system automatically maintains group-user membership.
Once the group is defined, the administrator can immediately provision access to resources for the group. IT benefits by shifting the burden of group assignment to the business managers. The business managers’ benefits from immediate provisioning of their users based upon group role.
For example, let’s examine the following scenario for integrating with the company’s HR system:
Information about employees including their Division, Department, Job Title, Job Grade, Geographical Location etc. is obtained from the Human Resources system and the administrator defines the following group:
Division = Corporate
Department = Finance or Accounting
Job Title = Accountant, Accounting Assistant or Accounting Manager
Job Grade = Employee or Manager
Geographic Location = Any
When the group is first defined, all existing employees with a group role matching this group definition immediately become members of the group. When a new employee is hired or when an existing employee’s role changes to match the above group definition, they also automatically become members of the group. When employee’s roles change and they no longer match the definition of the group, they are automatically removed from the group.
Integration can be direct or through the Unified Enterprise Database™, which is designed to serve as the corporate-wide database for uniquely identifying people. When integrated with Tracker TRM™ (which uses the Unified Enterprise Database natively), any contact is a potential user and contact roles form the basis for defining groups.
